Booking Terms & Conditions

These Terms & Conditions are in place to ensure fairness, safety, and the highest quality experience for all attendees.

By booking or attending a Luna Lights Sensory class, session, party, or event, you agree to these Terms & Conditions in full.

Attendance and participation are at your own risk.

1. Bookings 

All bookings are made online via Pembee:
https://luna-lights-sensory.pembee.app

Payments are processed securely via Stripe.

• Classes must be pre-booked and pre-paid
• Bookings may be made per session or per term
• Spaces are not secured until payment is received

Each booking permits attendance of:

• One named adult (account holder)
• One named child

If the booking adult is not the attending adult, you must notify us at least 24 hours before class to update the registration.

Failure to do so may result in refused entry without refund.

It is your responsibility to check dates and times before confirming your booking.

2. Cancellation of Classes  (By Customers)

Cancellations must be made via your pembee account bookings page.

Refund structure:

• More than 28 days before term/session – 90% refund
• More than 14 days before term/session – 75% refund
• Less than 14 days – non-refundable and non-transferable

You may gift your place to a friend provided:

• We are notified via email at least 24 hours in advance with gifted friend name and class
• The recipient completes gifted class registration via website at least 24hr before class

No refunds will be issued for:

• Holidays
• Illness
• Non-attendance

3. Cancellation of Classes (By Luna Lights Sensory)

If a class is cancelled, attendees will be notified via email and social media.

Where possible:

• An alternative class will be offered
OR
• A class credit (valid for 3 months) will be issued

No refunds will be given.

If cancellation occurs due to circumstances outside our control including but not limited to:

• Government restrictions
• Venue closure
• Red weather warnings
• Lockdowns

No replacement class or credit will be issued.

If you are marked absent before a cancellation is announced, no credit will be provided.

4. Additional Adults

Due to safeguarding, venue capacity and insurance requirements:

Additional adults may only attend if:

• An additional adult request is emailed at least 24 hours before class
• The Additional Adult Registration Form is completed via website at least 24hr before class
• Written approval is confirmed

Unregistered adults will be refused entry.

Attendance is strictly for personal enjoyment only.

Observation, recording, replication, reproduction or commercial use of any part of our classes is strictly prohibited.

We reserve the right to refuse entry to:

• Unregistered adults
• Individuals suspected of commercial observation
• Anyone breaching these Terms

5. Gifted Classes

A Gifted Class allows one named adult and one named child to attend a specific session in place of the original booking.

Conditions:

• Email notification required 24 hours in advance with gifted names and class
• Full registration must be completed by recipient via website
• Gifted place applies only to the specified session
• Non-transferable
• No cash alternative

Gifted attendees are bound by all policies including Intellectual Property restrictions.

We reserve the right to refuse or withdraw a gifted place where:

• Registration is incomplete
• Policies are breached
• Commercial observation or replication is suspected

6. Illness Policy

Please do not attend if your child or household member has:

• Fever within 24 hours
• Sickness or diarrhoea within 48 hours
• Heavy nasal discharge
• Discharging eyes

Or symptoms of communicable diseases including:

Measles
Chickenpox
German Measles
Whooping Cough
Impetigo
Scarlet Fever
Hand, Foot & Mouth
Norovirus
Covid-19

No refunds are provided for illness.

7. Siblings 

Tiny Luna & Little Luna classes – no siblings outside age range permitted.

Arrival with unbooked siblings will result in refusal of entry due to insurance restrictions.

Siblings under 12 months may attend Luna Tots if:

• In a carrier or sling
• Booked in advance. Please email us to register a sibling.

7. Behaviour

We reserve the right to withdraw services where behaviour from a parent, carer or attendee is deemed unreasonable, disruptive, or unsafe.

No refund will be issued in such cases.

8. Photography & Recording

Personal photos for memories are welcome. Aways ensure photos are of your child only. If you are asked to stop, please do respect the rights of others.

However:

• Recording full class structures, sequencing or setup is prohibited
• No commercial reproduction permitted
• No content may be recreated for business use

We reserve the right to request recording to stop at any time.

If you gave premission for photos/videos during booking confirmation. You have agreed to use for marketing. No names will be shared.

9. Intellectual Property

All content, structure, lighting concepts, class format, materials, themes, wording, branding and session sequencing are the intellectual property of Luna Lights Sensory.

You may not:

• Copy
• Reproduce
• Replicate
• Adapt
• Record for commercial purposes
• Distribute
• Use for business inspiration

Children’s activity providers may not attend classes without prior written consent.

Legal action may be taken in cases of breach.

10. Health & Safety

All children must be supervised at all times.

The supervising adult accepts full responsibility for:

• Themselves
• Their child
• Their belongings

We are not liable for:

• Accidents arising from failure to supervise
• Allergic reactions
• Clothing damage
• Lost property

Class is nut-free.

Shoes must be removed in class area.

Lighting equipment must not be touched.

Sensory items are supervised play only and not all items are toys.

11. Data Protection

We process personal data in accordance with GDPR.

Information is used solely for booking and operational purposes.

12. Parties

Children attending the party must be supervised at all times. Luna Lights cannot be responsible for any injuries, damages or lost property. 

• Strictly under 5 years of age due to insurance restrictions. Maximum of 14 children.  

• A suitable safe venue must be chosen for your party size. Venues must have plenty of wall sockets and be able to be made dark with curtains or blinds at the venue, a table and chairs will be required for kit. It is the hirers responsibility to choose a suitable venue. 

• Any sensory kit broken/ missing after the party will be charged accordingly.  A deep clean fee of £25 will be charged if mats are soiled after party. 

• Set up and pack down time is required up to 1 hour before and after the party start time. 

• Party attendees must complete in advance 'party attendee' details via pembee link to read and agree to our terms and conditions.  

A non- refundable deposit of £50 is taken to secure your party date. The final balance is to be paid on the day. 

In the event of illness of class leader a full refund will be given. Should you cancel the party due to illness rescheduling is offered subject to availability. The party deposit is non- refundable should you cancel the party from the day secured. 

13. Luna Pop-Up Shop

Items sold are not toys unless stated.

All products must be used under adult supervision.

No liability accepted for misuse.

14. Competitor Attendance & Conflict of Interest

Luna Lights Sensory classes are designed for personal enjoyment only.

Attendance by individuals who operate, assist with, plan to establish, or are commercially involved in children’s activity businesses (including but not limited to sensory classes, baby development classes, immersive play sessions or similar services) is strictly prohibited without prior written consent.

For the avoidance of doubt:

• Attendance for the purpose of observation

• Attending to gather ideas, inspiration or structure

• Recording or mentally noting sequencing, setup, lighting concepts or materials

• Attending under a third party’s booking

• Booking under false or undisclosed commercial intention

is considered a breach of these Terms & Conditions.

Luna Lights Sensory reserves the right to:

• Refuse entry

• Cancel bookings without refund

• Withdraw services

• Deny future bookings

• Take legal action where Intellectual Property infringement is suspected

All class content, format, lighting design, themes, materials, and session sequencing remain the exclusive Intellectual Property of Luna Lights Sensory.

Attendance implies agreement that no commercial use, replication, adaptation or reproduction will occur.

15. Liability Limitation

To the fullest extent permitted by law, Luna Lights Sensory shall not be liable for:

• Any indirect, consequential or incidental loss
• Loss of enjoyment, expectation or experience
• Loss of opportunity
• Loss of earnings or business
• Damage arising from misuse of equipment or failure to supervise a child
• Any loss arising from third-party actions

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, or any other liability which cannot legally be excluded under UK law.
