Luna Lights Sensory Booking Terms + Conditions
Terms and Conditions are in place to offer a fair structure to all. We aim to provide the highest quality classes for all of our customers, and we are committed to the safety of all persons who attend.
The Terms and Conditions are in place to allow us to offer our customers the highest standard of service.
You and your child use our services at your own risk.
Bookings
Bookings are taken online via booking platform Pembee via link -https://luna-lights-sensory.pembee.app.
Card payment is taken and processed by card transaction provider ‘Stripe’.
Classes may be provided individually or a term. Classes are pre-paid, pre-booked only.
Confirmation of place
It is your responsibility to check dates and class times have been selected correctly before completing your booking.
Once payment is made in full for desired class(es), you will receive an email booking confirmation of your place and the dates included in your bookings.
Incorrectly made booking
If you have incorrectly made your booking please contact us to transfer your booking subject to class availability.
Booking Cancellation Policy
A term or session may be cancelled via your booking confirmation email if more then 14 days before your session / term begins. Cancellation fees will be deducted as followed. More than 28 days 90% refund. More than 14 days 75% refund.
If less than 14 days before term or session bookings are non transferrable and non refundable, you may offer your place to a friend as a gift provided you inform the class leader in advance (24 hrs) with their contact details (Name/Number).
Cancellation of classes
Luna lights Sensory will endeavor to run classes during bad weather e.g snow. However, should we need to cancel due to safety concerns or reasons outside of our control, parents will be contacted by email and notified on our social platforms (Facebook /Instagram). Please ensure your email address is kept up to date via our booking page.
An additional class will be offered if we have to cancel a class, please notify in writing within deadline if you are unable to attend this date. You may offer the session as a gift to a friend or alternatively we will provide a discount code (for the value of the canceled class) to be used against a future booking. No refunds are given. Class credit valid for 3 months. If you are recorded as absent on class register ahead of a class cancellation a credit will not be given.
Renewals
No later than 3 weeks before your term runs out your class leader will inform you how to secure a priority place for the next term.
We will inform you how to rebook your place and this is via our online booking system with payment to confirm a place. Places are on a first come first serve basis during this priority time across all classes before places are offered to the waitlist and wider community, time period is set dependent on each term by the class leader.
Holiday / Sickness
We cannot offer discounts or refunds to cover your booked holidays, or non-attendance due to illness. You may offer your place to a friend who also has a baby to a session if you know you are unable to attend. Providing they are the age range of the class booked and you notify the class leader in writing at least 24 hours in advance to schedule class. We cannot accept any gifted attendees without prior arrangement due to our insurance requirements.

Attending Siblings
Regrettably, no siblings outside of the class age are able to attend. You will not be able to attend your class if you arrive with older siblings on the day i.e due to school closures due to our insurance.
Twin Bookings
Please contact us before completing your booking, to provide a discount code for twin bookings. We offer one twin to attend free of charge in tiny luna classes and 20% off second child in little luna/ luna tots classes.
Behavior and Withdrawal of service
Any children behaving disruptively may be asked to leave the group. Should a parent / carer behave in a way that Luna Lights feels is unreasonable, then Luna Lights reserves the rights to withdraw the provision of classes to the customer.
Commitment to Equal Opportunities
Luna Lights Sensory has a commitment to ensure that the equipment and activities are of value and worth to everyone regardless of race, culture, language, gender, age, experience, religion, background, ability or disability.
Videos, photographs and confidentiality
Please always be sensitive to taking pictures/videos of others without their permission. If you are asked to stop, please do respect the rights of others.
If you give permission for photos / videos to be used by Luna Lights Sensory no names will be attached. This permission is stated as a question when completing your booking.
Personal Property
Personal property brought to class is your responsibility and we cannot take responsibility for any items.
Data Protection
Luna Lights Sensory will record, process, and keep your personal information secure in accordance with GDPR. Information will not be passed onto a third party and will only be used in relation to your booking. Refer to the Luna Lights Sensory privacy policy if you have any queries.
Health & Safety Policy
Luna Lights completes regular risk assessments. Health and Safety is our priority at all times, rigorous cleaning procedures are conducted before, during and after classes.
We ask all parents and carers to remove their shoes and place them in designated areas with personal belongings to reduce the chance of transmission of microorganisms. Shoes must be worn when visiting the toilets / baby changing facilities.
Please make your class leader aware of any allergies / medical conditions ahead of attending via the booking questions.
Luna tots class includes tuff tray play that may use dry / wet ingredients. Allergy information will be given as required. Luna Lights Sensory cannot be held responsible for allergic reactions or responsible for any stains to clothing.
Class is a nut free environment. No food is be consumed that may contain nuts.
All children must be supervised at all times and not left unattended. The class leader cannot be responsible for a child at any time. The supervising adult takes full responsibility for themselves, and their child, and for everything that happens to them in relation to the class.
Sensory items must be supervised play at all times. Not all sensory items are necessarily toys or age appropriate. Safety warnings will be given to items with small parts / batteries.
Our room lighting is for lighting effect only and must not be touched by children. No UV lighting is used in class.
Birthday Parties
A £50 non refundable deposit is taken to secure your party date. The remaining balance is due on the day of party. Party guests must be under 5 years old to take party and must be supervised at all times.
Luna Pop Up Shop
A selection of products can be purchased from the Luna shop on the last week of each term.
Sensory scarves + Magic foil (emergancy blanket) are not toys and must be used with adult supervison only. Items not to be mouthed. Never leave your child unattended.
Halilit / Puppet company products are sold with safety labels attached for your guidance.
Purchases can be made in class with cash only.
Luna Lights Sensory Intellectual Property
Intellectual property rights belong to us.
You are not granted any right to use, and may not use, any aspect of Luna Lights Sensory Intellectual Property.
All intellectual property rights in our Classes or any other Services, including any materials provided to you in our provision of the same belongs to us.
No part of the Luna Lights Sensory Intellectual Property may be copied, reproduced, republished, uploaded, reposted, modified, transmitted or distributed or otherwise used in any way for any non-personal, public or commercial purpose.
Unless otherwise permitted by these terms, you must not permit any other person to use or benefit from any materials or information provided to you in the course of us providing you with our Services.
Children activities providers cannot attend classes without prior consent to ensure no conflict in interest occurs to protect Intellectual property and brand materials.
Changes to Terms and Conditions
Luna Lights Sensory from time to time updates these T&Cs. It will inform you of changes through regular channels of communication and you have 14 days to opt out of accepting changes in writing. Failure to do so will entitle Luna Lights Sensory to treat this agreement with you as being updated with the changes.
